Position Summary:

The Assistant Director for Human Resources (Assistant Director) performs a broad range of responsibilities that vary in complexity in support of services, programs, and functions for the Office of Human Resources at Harvey Mudd College. This role prioritizes a proactive and results-oriented, full-cycle recruiting program, overseeing the sourcing, pre-screening, interviewing and referral of qualified candidates to respective departments, as well as ensuring the successfully onboarding of new staff. The position focuses on identifying highly qualified candidates, devising strategies to attract and retain staff and offering support to new hires. The Assistant Director provides support for onboarding, compensation, benefits, HR communication, employee engagement, workers compensation/safety, and offboarding processes. As a key member of the HR team, the ideal candidate will actively contribute to critical HR projects and initiatives, adapting to the dynamic needs of the HMC community.

The Assistant Director will report to the Assistant Vice President-Chief Human Resources Officer and is vital in cultivating trusting relationships with prospective hires while delivering an exemplary candidate onboarding experience. The role requires the capacity to manage multiple priorities and work in a diverse and fast-paced environment. Central to this position is a need for a highly detailed-oriented, motivated, process-driven individual who is proactive and welcomes the opportunity to innovate and drive continuous improvement. DUTIES AND RESPONSIBILITIES

Recruitment – 60%

Manage full cycle recruiting process for all staff, ensuring a smooth candidate experience.

Support staff employment through proactive recruitment initiatives, posting and advertising jobs, conducting interviews, onboarding, and processing new hires within Workday.

Use traditional and non-traditional resources to proactively identify and attract quality candidates such as Social Media, LinkedIn, career fairs, on-line job fairs, community network events, and other event venues.

Gather and analyze data with useful HR metrics in relation to recruiting and helping the college to minimize the amount of time requisitions are open and, in an effort, to ensure HMC targets, hires and continues to retain a diverse workforce, in alignment with the college Affirmation Action Plan.

Generate pipeline of highly qualified and interested candidates for multiple searches (both for active searches and for developing pipelines of candidates for future searches).

Collaborate with Hiring Managers and HR team to keep them informed and engaged with the progression of your sourcing and outreach campaigns.

Partners with department managers to provide guidance on department reorganizations and restructures, assessment of staffing needs, and research related to job redesign, developing and reviewing job descriptions.

Process employment changes for internal staff. Partner with HRIS Analyst and Administrator with Workday changes regarding new configurations, supervisory organizational changes, job profiles, etc.

Partner with the Associate Director for Human Resources regarding any staff immigration requests (e.g., OPT, J1, H1B, etc.)

Coordinate, track, and manage all College temporary employment arrangements. Includes monitoring for end of assignments, communication with managers and individual incumbents, and other coordination as necessary to ensure compliance.

Administer the Summer work for Dining Services staff, including providing transition letters and processing job changes in Workday.

Coordinate, administer and support HR retention programs/initiatives, using continuous improvement methodologies to monitor programs for efficiency/effectiveness.

HR Generalist Support – 25%

Facilitate proactive support for department leaders to ensure a seamless onboarding experience for new hires, ensuring a smooth transition into the college.

Conduct internal and external compensation analysis and provide compensation recommendations for grade and salary placement, for approval by the AVP-CHRO.

Provide recruitment and hiring support for the Upward Bound Summer program.

Facilitate HR benefit meetings concerning retirements, providing comprehensive support and information, in alignment with TCCS. Oversee coordination for TIAA retirement planning consultation meetings for employees.

Partner with the AVP-CHRO to build, establish and evolve HR communications to foster engagement and retention of all employees, aligned with the College strategic plan.

Manage the offboarding process, including requests for final checks, terminations packets with compliance documentation, and processing CIS notifications.

Analyze exit interview trends to identify patterns, opportunities and provide insights for talent retention and makes recommendations to AVP-CHRO.

Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.

​Provide support for annual programs and services such as affirmative action planning, benefit open enrollment, salary planning, performance management administration, annual rideshare program, service award program, and summer research program.

Workers Compensation & Safety - 10%

Coordinates evaluations related to Workers Compensation claims and ensures information is provided to TCC Disability Administration.

Provides support with the College Workplace Violence Prevention Plan and program regarding workplace violence investigations, hazard assessments, and training support, in partnership with the WVPP Administrators.

Provide assistance for employees in need of an ergonomic evaluation through coordination with TCC Services.

Manage the Authorized Drivers Process for the College.

Responsible for posting annual OSHA 300A report.

Other Duties – 5%

Support coordination of and participate in various HR events and employee engagement activities to foster a positive and inclusive workplace culture and evolve HR presence and availability throughout the campus.

Contribute to HR team meetings by providing updates on HR-related projects, updating HR Calendar deliverables each month.

Contribute to the development of the HR Playbook. Responsible for identifying HR processes, procedures and workflows in a streamlined approach with the intention of establishing standardization, consistency and best practices.

Provides HR expertise to campus committees and task forces, as assigned.

Perform other duties as assigned.

REQUIRED QUALIFICATIONS

Education and Experience:

Bachelor's degree or equivalent combination of education and experience required.

Minimum of 5 years of experience in Human Resources.

Minimum of 2 years of experience with both internal and external recruitment and talent acquisition/talent management.

Familiarity with HR databases, Candidate Relationship Management Systems (CRM), or Applicant Tracking Systems (ATS)

Experience utilizing the latest sourcing tools and methods (Internet search, browser extensions, Social Media, LinkedIn etc.)

Required Knowledge, Skills and Abilities:

Knowledge of laws and regulations which pertain to human resources; must be capable of interpreting them.

Ability to maintain confidentiality, remain open to others' ideas, and demonstrate maturity and composure in dealing with difficult situations.

Highly motivated with integrity, strong work ethic, excellent communication, and analytical skills.

Excellent oral and written communication skills; ability to write legibly, spell accurately and proofread documents.

Use highly effective and sound judgment.

Ability to adapt to changes in the work environment, manage competing demands and is adaptable to frequent change, interruptions, delays, or unexpected events.

Experience using Microsoft Office, including the ability to create basic reports, documents, presentations and spreadsheets in MS Word, MS Excel, and MS PowerPoint.

Excellent organizational, negotiation, and problem-solving skills.

Efficient multi-tasker who is detail oriented.

Ability to work collaboratively with managers, staff and students and other campus constituents.

Ability to function in a team environment and to work independently.

Desire to work as a team with a result driven approach.

PREFERRED QUALIFICATIONS:

Experience in higher education or a non-profit organization.

Experience with Workday HRIS, SharePoint, Google Documents, Kuali Build systems, and new technologies (e.g., ChatGPT, AI) preferred.

Possess and maintain an HR certification (e.g., SHRM-CP, SHRM-SCP, etc.)

Bilingual in English and Spanish.

LICENSES AND CERTIFICATIONS

Possess and maintain a valid driver's license and driving record acceptable to the College's automobile insurance carrier.

Physical Requirements:

While performing the duties of this job, the staff member is regularly required to sit; stand, use hands and fingers and talk or hear. The employee is occasionally required to reach with hands and arms. The individual must regularly lift and/or carry up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. Hours:

Regular office hours are 8:00 a.m. to 5:00 p.m. However, days and hours may vary due to the needs of the department or the College.

Classification:

This is an exempt, full-time, benefits-eligible position.

Salary:

The anticipated starting salary is $68,000-72,0000/annual. Salary will be commensurate with qualifications and experience.

Reporting:

This position reports to the Assistant Vice President-Chief Human Resources Officer.
