JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Human Resources Associate manages the Human Resources lobby area and greets and directs all visitors, including vendors, clients, job candidates, and customers. This position performs special administrative tasks that may include overflow work from the department and/or recruiters. This position performs compliance related functions that include I9 verification, reverification, exit clearance, and separation. Additional compliance functions include longevity and annual leave transfers, employment verification and other related processes.
Responsibilities
DUTIES AND RESPONSIBILITIES:
- Enters Personnel Information Form (PIF) information into DASH to ensure timely hiring and start date for staff employees.
- Completes changes as requested to employee records in DASH.
- Provides employment verification information for employees (mortgages, other employment, etc.)
- Verifies hiring documents, licensure, transcripts, and work experience for prospective employees; ensures necessary documents are scanned and attached in DASH.
- Assists in completing and E-verify I-9's on new hires, students, postdocs, and foreign nationals.
- Maintains employment calendar and schedule; prepares for meetings and conference calls; prepares various arrangements for departmental business travel.
- Sends out separation notices within 24 hours of employment separation.
- Completes employment verifications.
- Answers phones and greet visitors, directing calls and guests to the appropriate personnel.
- Performs other duties as assigned.
Qualifications
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: One (1) year of job-related experience, preferably in a human resource department with technical experience, including responsibility for managing records with a high level of customer service skills.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of basic HR functions and terminology.
- Skill in the use of personal computers and related software applications.
- Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
- Effective written and verbal communication skills.
- Ability to use independent judgment and to manage and impart confidential information.
- Ability to maintain high accuracy and work quality standards.
- Ability to work effectively in a team environment.
