Summary


The Recruitment & Onboarding Specialist is responsible for planning, facilitating, and coordinating the recruitment and onboarding of qualified and diverse applicants for university staff positions. They assist in the coordination of projects and initiatives that improves processes, procedures and efficiencies in the area of recruitment and onboarding.

Essential Functions


Recruiting
  • Assist hiring managers and support staff with the process of posting jobs within the university's online applicant tracking system.
  • Facilitate advertising for university departments by collaborating with advertising agency to provide recommendations, ensuring diverse sources and methods.
  • Establish and maintain relationships with external firms used for job placement and postings. Work with external search firms when used for high level position openings.
  • Facilitate selection and placement of candidates by processing employment forms/documents and maintaining employment records for new employees. Process online hiring documentation where applicable and assist candidates in navigation of the online process.
  • Maintain and ensure compliance with applicable equal employment opportunity (EEO) and related employment laws and regulations in collaboration with the Division of Inclusion and Belonging.
  • Review candidate application materials submitted for HR review by search committees and/or hiring managers.
  • Explain employment policies and procedures to applicants, staff, and outside employment agencies as necessary.
  • Assist with evaluating and improving efficiency and effectiveness of recruitment methods, processes, and posting locations; analyze data; recommend updates as needed.
  • Maintain university memberships regarding job posting resources and pay invoices as received.
  • Correspond and communicate with applicants and staff to ensure timely receipt of information requested, answer questions, and resolve issues related to human resources topics. Assist applicants with online application system questions.
  • Manage the background check process for all staff and faculty positions. Facilitate the adverse action process as needed.
  • Manage the online applicant tracking and onboarding systems. Implement needed components, manage processes, and troubleshoot technical issues. Maintain related online forms, tasks, and job aids. Provide ongoing training to hiring managers and other applicable individuals.

Projects
  • Plan and facilitate new employee orientation sessions.
  • Communicate necessary information to employees leaving the university via email and phone calls, as applicable.
  • Maintain and monitor the university I-9 system for staff, keep up-to-date records, perform regular audits, and address any issues in a timely manner. Maintain user access to I-9 system, provide training and required documents to new users, and facilitate annual training for all I-9 system users. Manage E-Verify issues.
  • Establish partnerships with a network of organizations (e.g. civic, professional, government agencies) to be used to recruit diverse and qualified candidates. Participate in job fairs and other events to promote the University and remedy the under representation of members of the protected class(es) as identified by the Affirmative Action Plan.
  • Maintain communication log to track contacts with external recruitment sources.
  • Maintain the university Careers page in the online applicant tracking system and update as necessary.
  • Review the HR/Recruitment (internal) website and make recommendations for updates as necessary.
  • Work with General Counsel regarding Labor Condition Applications for international hires.
  • Regularly run and review online applicant tracking analytics and review for trends and opportunities.
  • Support Inclusion and Belonging initiatives.
  • Keep current on recruitment best practices and federal, state, and local employment laws and regulations.

Other Duties
  • Performs other duties as assigned.


Minimum Qualifications

One of the following Degrees is required:
  • Associate's degree and 7 years experience
    • Degree must be conferred at the time of application.
  • Bachelor's degree and 3 years experience
    • Degree must be conferred at the time of application.

The following Experience is required:
  • Managing all phases of the recruitment and hiring process

The following Experience is preferred:
  • Experience with an online hiring system

The following Licensure, Certifications, or Registration is preferred:
  • SHRM-CP or PHR
